BOOK A ROOM

You can book a room for non-commercial meetings and events relevant to student life in Copenhagen.

We prioritize events organized by or of particular relevance to students at the University of Copenhagen have priority.

Monday – Friday: 09:00 – 21:00 (often until 22:00)
Saturday – Sunday: 10:00 – 21:00 (often until 22:00)

HOW TO BOOK A ROOM
Fill out the booking form below with a detailed description of your event. We will review your request and inform you whether you can borrow/rent a room and if your preferred time and space are available.
Processing time: We process booking requests a few times a week, so please submit your request well in advance.
Your booking is not confirmed until you receive written confirmation.

YOU CANNOT BOOK ROOMS FOR

  • Study groups or interviews – however, our study spaces on the first floor above the café are available. Please note that seats cannot be reserved and noise levels may vary.
  • Private events
  • Parties, sports, dancing, choir singing, or other high-noise activities
  • Commercial events
  • Political or religious events

NOTE!
Promoter are responsible for setting up tables and chairs for the event – expect to spend at least 15-20 minutes on this in Main Hall, also after the event. Preparation and cleanup must take place within the booked period.

Access to the premises
Upon arrival, please go to the bar for check in. The manager will unlock the room you have booked and check that everything is alright. The room can’t be locked while it is lent. When leaving, you must check out with the bar manager.

Room Rental
We offer room rental at 600 DKK per hour, including VAT. Additionally, we charge an event fee equivalent to one hour’s rent. The room is only considered booked once we have approved your request.

If you wish to request a discount, please include a short explanation in the form along with an estimate of what you are able to pay. We will assess your request based on the specific circumstances and our available options.

Borrowing a Room
Students and student organizations can borrow our rooms for free, provided that the event meets our conditions and aligns with Studenterhuset’s interests. The room is only considered booked once we have approved your request.

If you are a non-profit organization without the means to pay for rental, you can request to borrow a room. If you believe you meet these criteria, please indicate this in the form so we can take it into account in our evaluation.

Prices are indicative.

    DESCRIPTION OF EVENT*

    NOTE! Your booking is not final until you've been in contact with a staff member from Studenterhuset. We answer booking inquiries a couple of times a week so make sure to book well in advance.

    IMPORTANT TERMS FOR ROOM USE

    • CLEANUP
      You are responsible for tidying up and returning tables and chairs to their original setup after your event. This must be done within your booked time, including any preparation time.
    • FOOD & DRINKS
      All beverages must be purchased at Studenterhuset’s café – bringing your own drinks is not allowed. Violation will result in a fine.You are welcome to bring your own food. However, there is no access to kitchen facilities. Tableware rental can be arranged upon request and at an additional cost.
    • ROOM ACCESS
      You can access the room only during your booked time. If your event requires preparation, such as setting up tables and chairs or arranging equipment, this must be done within your reserved time slot.Upon arrival, check in at the bar, where the staff will unlock the room and ensure everything is in order.
    • ACCESSIBILITY
      Elevator access is available on all floors, and a wheelchair-accessible restroom is located on the first floor.

    Loans of premises – terms

    1. Access to the premises

    • Upon arrival, check in at the bar. The responsible staff member will unlock the room and ensure it is ready for use.
    • You can only access the room during your booked period. Setup and cleanup must be completed within this time.
    • When leaving, please check out with the bar staff.

    2. Allowed Activities
    Rooms are reserved for non-commercial activities relevant to student life in Copenhagen.

    Allowed activities:

    • Meetings
    • Workshops
    • Lectures/debates
    • Events relevant to student life

    Not allowed:

    • Private parties or events
    • Sports, dancing, choir singing, or high-noise activities
    • Interviews or study groups (please use the café/study areas instead)
    • Commercial, political, or religious events

    If these rules are violated, the event may be shut down immediately without notice, and a fine may be issued.

    3. Food and drinks

    • All beverages, including coffee and tea, must be purchased at Studenterhuset’s café.
    • Violation results in a fine of DKK 50 per registered participant (minimum DKK 500).
    • You may bring your own food.
    • No kitchen access. Tableware rental is available upon request and payment.

    4. Setup and cleanup

    • You are responsible for setting up and cleaning up after the event.
    • In the Main Hall, allocate at least 15-20 minutes for setup and cleanup.
    • Tables and chairs must be returned to their original setup.
    • If the room is not left in a proper condition, a fine of DKK 300 + DKK 300 per additional hour will be charged.

    5. Admission
    If you wish to charge an entry fee, this must be agreed upon in writing with Studenterhuset in advance.

    6. Copyrights for film and music
    If you show films, play music, or use copyrighted materials, it is your responsibility to obtain the necessary licenses and pay relevant fees to KODA and Gramex.

    7. Decorations

    • Decorations may only be put up with prior agreement from Studenterhuset.
    • Do not use duct tape or attach anything to walls or ceilings except on designated poster walls.
    • Roll-ups are allowed without special permission but must not be placed outside on the street (including any larger banners, beach flags etc.)

    8. Liability & Security

    • You are liable for any damages to the room or equipment during your event.
    • Studenterhuset is not responsible for personal belongings such as laptops, phones, or coats.

    9. Cancellation Policy
    If you need to cancel, notify us as early as possible. Late cancellations incur the following fees:

    Main Hall:
    Less than 2 weeks before: DKK 500
    Less than 1 week before: DKK 750

    Aquarium & Church Wing:
    Less than 10 days before: DKK 200
    Less than 5 days before: DKK 400

    If you cancel shortly before your event, the following fees will be charged, even if you have borrowed the room for free:
